Top Tips To Choosing A Great Wedding Planner

It's finally here, He’s popped the question, the bridesmaids have been chosen and you have nailed down your budget to a final number – Now comes the tricky part.

In a sea of Wedding Planners, how do you choose one that will make the most beautiful day of your life a reality? More importantly, create the vision YOU have for your wedding day and not the look and feel the events planner sees and wants for your day.

Did you know planning a wedding can be one of the most stressful experiences a couple can endure, that’s what makes finding the right wedding planner & coordinator or the right wedding suppliers that much more imperative.

We have scoured the internet and consulted our years of experience to put together an amazing wedding planner or supplier checklist of tips to finding your perfect wedding planner or wedding supplier.

Tip 1. Tap into your Network or The Events H U B Network

When it comes to finding suppliers and contacts for your big day, personal recommendations are invaluable.

Ask your friends and family for tips on Wedding dresses, Cakes, Venues, Dj's, Decor Hire suppliers and more, or tap into the Events H U B to get to the best of the best. You will be surprised by the golden leads you will receive by people you know or even on the Events H U B Platform itself.

And let's just be clear, this includes Wedding Planners; a personal recommendation or star ratings, and reviews can go a long way to choosing the perfect wedding planner for you and the groom to be.

Putting a call out on Social Media can also be a very helpful tool, however, check the supplier out thoroughly before committing or go to the Events H U B platform to see what their latest reviews and star rating are like.

Tip 2. Look for The Personal Touch

Once you have a list of contacts and reviews you would like to pursue, arrange a meeting where both you and the fiancé can be present to meet up with your preferred event suppliers or wedding planner or event on the day events freelancer.

First impressions are imperative in the events industry and these event suppliers and event planners will be a huge part of your wedding day and making your wedding memories absolute wedding perfection for the rest of your life.

They can either add to your wedding stress or remove it completely, we always go for the remove it completely option!

Ask lots of questions and take note of the the lead times, how long will it take to get a quote?, how long do they take to respond to your inquiry?.

Do they grasp and understand your vision or are they trying to tweak it to suit their taste?

We suggest that you always make sure that your event supplier or wedding planners guidance aligns with your taste and your wedding dream.

Tip 3. The Wedding planners Online Look and Feel

Remember Online is everything nowadays, make sure you have a look at your preferred event suppliers online presence, whether they are listed with Events H U B  or do they give you an air of proffessionality or is the look and feel of their company slightly off putting, scruffy or not really what you are looking for?

Check out their Google reviews and facebook reviews or even their Events H U B reviews? are they good? Do they have few recommendations? What is their past record like? and if they are new to the events planning business, don't discount them, but do some vetting to make sure what you are paying for is definitely what you are going to get.

Online Presence can tell you a lot about a company and more often than not, If your gut feel is saying this isn’t the events planner, wedding planner or Events supplier for you and your Fiancé, You would generally be right! We always say GO WITH YOU GUT, its generally right!

Tip 4. Getting the most out of your first meeting with a potential wedding planner or event Supplier

Before going into a meeting with any potential wedding planner, events planner or even just a particular events supplier have your ideas, visions and budgets jotted down. This always helps avoid the pie in the sky chat.

It all comes down to preparation, going to a meeting with a planner with little idea of what you need and want will leave you flustered and stressed, and no one wants the perfect wedding day to be stressful. You want excitement, anticipation, fun, laughter and love all the way through, this should not be a stressful experience at all.

Before interviewing your potential Wedding Planner and remember this is your interview, not theirs, try to have a few details ready.

  • Your Budget, Remember this can change and most likely will, but it’s good to give your wedding planner an estimated number so there is a starting point, trust us when we say this helps so much and you don't want the champagne taste with beer money scenario, and visa versa, you also don't want to fall off your chair when you get your first costings, weddings can be an expensive adventure, but don't need to break the bank.
  • have an estimated number of guests you intend to invite
  • A preferred wedding date is always good, but have a backup date as well.
  • Have a list of venues or preferred venues or even just the type of Venue you are thinking of.
  • Your vision, colour pallet or theme of your wedding (Please remember this is something you don’t have to know exactly, This where Wedding Planners Shine and their creativity is at its best)

After your interview, try and asses the following:

  • Did you feel heard?
  • Do you feel this particular wedding planner will work within your budget?
  • Were they too pushy?
  • What was your connection like?

Your wedding planner is the supplier you spend most of the time with during this process, be sure your personalities mesh well and there is a great vibe between you all.

Remember, it’s your and your fiancés day, TRUST YOUR GUT!

Tip 5.Black and White , Down To The Nitty Gritty

You found them, the perfect wedding planners, wedding suppliers, florists, caterers or even just an amazing cake supplier on the Events H U B Global app or platform, your personalities mesh and you feel this company or these suppliers can execute your perfect wedding day.

Now down to the nitty gritty – almost all Events Management companies or wedding coordinators will have a contract for you to review and sign to seal the deal and agree to the monetary value of your upcoming wedding day.

This protects the event company and more importantly it protects the newly engaged couple.

Be sure to read it from cover to cover, ask all the questions, we know it can be boring to wade through paperwork but it is important to understand exactly how your planner works, how do they handle changes, cancellations and what are the payment terms, or where do their additional fees come into play? Is after hour costs already included, who cleans up, what are the venue terms and conditions, This is so important!

This research and understanding ensures you have no nasty surprises down the road.

Most importantly have fun, be open and form a bond with your wedding planner, more often than not these people live for the events and will always go the extra mile for their clients.

The biggest piece of advise we can give you is sit back, relax and enjoy the ride, You hired an events planner or wedding coordinator for a reason, let them do what they do best, don't sweat the small stuff, and let them go that extra mile and give the attention to the detail, They've got this, and you will have the best day ever.

The biggest comments we get from couples that use wedding planners is "we wish we hadn't stressed so much before the wedding and even on the day" wedding planners don't become planners by chance, they become planners because they sure know how to plan, and generally work with a team that backs them up 100% from start to finish. You are in good hands, we promise.

Do not be afraid to ask for things to be changed (within reason) and always keep an open line of communication.

Having a planner can be one of the best decisions you make when planning your wedding day, It leaves you and the hubby to be able to celebrate your love and enjoy the first day of your rest of your lives together.

Happy Wedding Planner Hunting!
